Gonzalez Accounting works to ensure that both the client and the firm are a great match for each other. Bookkeeping services and monthly meetings are performed remotely. However, for clients in the Prescott, Arizona area meetings can be arranged in person if needed.

How our Office Operates

Gonzalez Accounting is a remote accounting firm operating from 9am to 6pm Mountain Standard Time (Arizona Time) Monday through Thursday. Our office is located at 122 N Cortez St Suite 301 Prescott, AZ 86301. For security reasons our office is open by appointment only.

Appointments are available on our website Gonzalez-accounting.com, this is also the fastest way to book with us, as it is instant. Contact us via email helpdesk@gonzalez-accounting.com, this email is checked daily with responses received within 1 business day or call our office at 928.227.3353, if we are not available to take your call, voice mail will be returned the within 1 business day.

Direct email, phone questions, and voice mail to your Bookkeeper and Accountant may take additional time for a response, typically between 2-3 business days, as we work on a time block system which allows us to focus on specific projects. For faster service, our Bookkeepers and Accountants may transfer your email or phone request with direction to the Help Desk who will respond on their behalf. They may also email you an invitation for a call back. This puts you on our calendar for a scheduled call back to expedite service.

Accepted payments: We accept cash, checks, money orders, cashier’s checks, debit cards, credit cards, and ACH transfers. When paying with cash please call and make an appointment for payment with the cashier.

Internal Requirements: We require a photo ID for all owners of the business, proof of SSN for all owners of the business, business articles of organization, and EIN verification letter. Software requirements that will be discussed during the initial consultation are QuickBooks Desktop, QuickBooks Online, Abacus Next, Smart Vault, and Bill.com.

 

How to Get Started- What are the Next Steps?

  1. Schedule an appointment: schedule directly on our website Gonzalez-accounting.com, send us an email to schedule helpdesk@gonzalez-accounting.com, call us to schedule 928.227.3353. Bookkeeping consultations require an upfront consultation fee of $150 to be paid the day prior to the appointment. If we engage in the future, we will credit the fee towards future services. Appointments are available in person, via phone conversations, and via zoom. During our appointment we will discuss your needs and how we can meet those needs. If we determine we do not have the expertise or cannot meet your specific needs, we will refund the consultation fee.
  2. We email you a list of all items we will need to analyze. This will help us to develop a proposal and contract.
  3. We draft a detailed proposal accompanied with a letter of engagement and contract. In these documents we detail our scope of work and fee schedule.
  4. Onboarding begins when the proposal and contract are signed. An appointment is made to discuss the list of items we will need from you. At the close of onboarding, which usually takes 4-6 weeks, we schedule our routine meetings.

Frequently Asked Questions

  1. Why is Bookkeeping so expensive? We went to school for accounting, and we should be paid for our advanced knowledge. We also have families that count on us to provide for them. We charge a reasonable amount for the work we complete.
  2. Why do you require a 6 month to a 1-year contract? Bookkeeping is very labor intensive, and a lot of work goes into preparing your books and making necessary changes to ensure things are correct. Honestly, we don’t want to be burned by the customer who cancels after we’ve made everything nice and neat. We are trying not to repeat our past mistakes, while trying to make a living.
  3. Why are you closed on Fridays? We use Fridays as a day to work without distractions and to complete continuing education. At times, you may receive emails or phone calls from us if we are working on your project, however, we do not check email or the phone consistently on Fridays, nor conduct appointments.
  4. All services are non- refundable. Why are services non- refundable? We can’t turn back the clock to erase all the work that has been done and the time that we have put into a project.

 

Things We Don’t Do

Clear boundaries are always a good thing to establish.

  1. We don’t accept text messages.
  2. We are not part of your office staff.
  3. We do not start work until the terms and payment arrangements are satisfied.
  4. We do not provide audit support as a service with our Bookkeeping services.
  5. We do not accept any foul language or aggressive behavior.
  6. We do not have a walk-in office. Our physical office is open by appointment only.
  7. We do not continue work for clients with an unpaid balance over 30 days. We suspend work and do not start again until the balance is paid in addition to the re-administration of services fee of $250.
  8. We don’t work with Apple Computers (If you can figure it out, that is great)

 

 

Bookkeeping Services

Fee schedules are developed on a case-by-case basis and are included in the client’s proposal and contract. Our price list is available for informational purposes.

We give free 15-minute consultations and in most cases, we can give you an estimate for the cost of services. However, for large projects, a 45-minute consultation may be required with a $150 fee.

Bookkeeping Consultation Fee

Forty-five-minute consultation. If we determine that we do not have the competency or are not the right firm for your business, we will refund the consultation fee. If we engage in the future, we will credit the fee towards future services.

Monthly Bookkeeping Services

QuickBooks Desktop or QuickBooks Online Software is required, but it is not included in monthly pricing but can be purchased separately. Our Bookkeeping services come with month-end and year-end financial reports. Accounts Payable, Accounts Receivable, Payroll, and Sales Tax Preparation not included and are priced separately. Includes a 45-minute monthly meeting and unlimited questions and answers. We currently have only 2 Bookkeeping slots available with On-Boarding May- July and October- December.

 

Micro Bookkeeping Services

1-200 Transactions or Up to $50,000 in gross revenue

Minimum Pricing $500 per month. The first 3 months are $1000 per month to allow for any QuickBooks clean up. Retainer and 1 year contract required.

 

Small Business Bookkeeping Services

Up to $500,000 gross revenue monthly, then an additional fee of $1,000 per every $500,000 gross revenue in addition to base pricing

Starting at $2,500 per month. The first 3 months are $5,000 per month to allow for any QuickBooks clean up. Retainer and 1 year contract required.

 

Bookkeeping Guidance for Small Business

This is an ideal package if your business already has a bookkeeper, but you still have accounting questions that come up. Includes up to 15 accounting questions and answers monthly via email, phone call, or zoom. $200 per month. A 6 month or 1 year subscription is required with automatic payment. We currently have only 5 slots available with On-Boarding May- July and October- December.

 

QuickBooks and Bookkeeping Assistance for Small Business

This is an ideal package if your business already has a bookkeeper, but you still have accounting questions that come up and you need a more hands on approach. Includes up to 15 accounting questions and answers monthly via email, phone call, or zoom. We double check your books, along with 10 adjustments that you may need us to perform in the current month, 45-minute monthly meeting. $500 per month.  A 6 month or 1 year subscription is required with automatic payment. We currently have only 5 slots available with On-Boarding May- July and October- December.

Micro Businesses 45 days at $1,000 with ½ of estimated cost of invoice paid in retainer and remaining balance due when work is completed.

Small Businesses 45 days at $5,000 with ½ of estimated cost of invoice paid in retainer and remaining balance due when work is completed.

Micro Businesses 90 days at $3,000 with ½ of estimated cost of invoice paid in retainer and remaining balance due when work is completed.
